Job Title: Remote Administrative Assistant
Location: Remote (Open to candidates worldwide)
Start Date: 5th August 2024

Job Description:
Responsibilities:
1. Paperwork Management:
- Organise and maintain digital files, records, and documents.
- Handle all incoming and outgoing correspondence efficiently.
2. Invoicing:
- Prepare and send invoices, ensuring accuracy.
- Follow up on payments and manage accounts receivable.
3. Meeting Minutes:
- Attend virtual meetings and take detailed, accurate minutes.
- Distribute meeting notes promptly to all relevant participants.
4. Travel Arrangements:
- Organise comprehensive travel itineraries, including flights, accommodations, and local transport for team members.
- Ensure all travel plans are cost-effective and meet team needs.
5. Meeting Coordination:
- Schedule and book virtual meetings, ensuring all logistics and necessary preparations are in place.
- Manage virtual meeting platforms and ensure technical readiness.
6. Calendar Management:
- Maintain and update calendars for the Managing Director including management, coordinating and scheduling appointments to avoid conflicts.
- Prioritise appointments and reschedule as necessary.
7. Additional Administrative Tasks:
- Answer and direct phone calls and emails professionally.
- Order and manage office supplies remotely for team members as needed.
- Assist with the preparation of reports, presentations, and other documentation.
- Support team members with ad-hoc tasks as required.
Qualifications & Experience:
- Proven experience as an administrative assistant or in a similar role.
- Highly Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organisational and multitasking abilities.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills (In your application tell me where I’ve made an error).
- Ability to work independently and collaboratively in a remote team environment.
- Familiarity with office management procedures and basic accounting principles is a plus.
